Booking Policy and 4th Floor Rules
Booking Policy:
Due to complaints beyond our control, we have implemented a new way to book rooms. You must now book through our website via the ticketing page. This keeps the first pay-first-served fair to the members.
If you book the 3rd floor through our website because the 4th was sold out and someone cancels from the 4th floor, you will be bumped to the 4th floor. This does not guarantee you will be on the 4th. Also, you will be put on another floor if your room has an issue. We can only do the best we can, but things can happen. (AC breaks, TV not working, Plumbing problems, etc).
The rates are still discounted but you must pay a service fee. It is listed when you buy your ticket. Anyone who constantly cancels their room before the events will not be allowed to continue to book the 4th floor. This becomes a logistical nightmare for us.
The refund stipulations are listed on the ticket description when you purchase a ticket. You cannot transfer the room to someone else. Once we have imported our members into the hotel system it is an act of god to get it changed since we do not go through the normal channels. This is part of our contract. Send us an email stating you wish to cancel and we will confirm it. Once you do this you cannot rebook and expect to get the party floor(s). There have been too many people canceling at the last minute leaving empty rooms on the 4th floor (which we have to pay for). Make sure you can make it to the event before booking your room. This sucks for the people that want the 4th floor and we have empty rooms.
Regular hotel rates apply if you book through the hotel or a 3rd party. We cannot dictate where in the hotel they will put you. You are on your own. Unfortunately, when booking through our website you cannot use points or discounts with your hotel priority memberships. Also, when not booking through our website, you WILL not get the 4th floor and you MAY not get the 3rd floor.
You may be among regular guests. You cannot have your own private party, or music, or dress inappropriately. Doing so will permanently remove you from the hotel and the club! Just because you booked through us you cannot have any kinda of party on the 3rd floor!
You are also required to register for the event BEFORE the Registration shuts down and wear your wristband. Getting your room does NOT count and you will be denied access to the club and dismissed from future parties.
If you purchase a "Last minute Any floor room", there are Absolutely NO Refunds or credits at ALL on this last-minute purchase. Be sure you are coming.
Any credit chargebacks to the club will result in having your membership removed without a refund. Members who book the 4th floor and cancel or not show up more than twice will not be allowed to book the 4th for future events. Please don't abuse this. If you are not serious about coming, please don't block the rooms for the people that are.
We apologize for having to do this but because of member complaints, we now have had to do things this way. Believe me, it's more of a headache for us.
Party Floor (4th floor) Rules and more:
* The 4th (Party) floor is ONLY sold through OUR website, period. Anyone claiming they were told by the hotel or a reservation system is totally false and will not be tolerated.
* Rooms are booked in the female's name! There is a reason for this as we have had single males try to book without coming with a female companion. This helps check that the couple is legit. Do NOT give the hotel a hard time or it could result in us revoking your membership. Please have the female half present when checking in.
* If you are Wonderfully lucky and get the 4th floor, please read. We have spent a lot of time and money on lighting to set the mood each month. Please keep your doors shut if you don't have black lights or dimly colored lights in your room or we will ask you to keep your door closed. If you do not wish to adhere to these rules, please let the front desk know when you check in to put you on the 3rd floor. If you need a Blacklight please ask the VAF staff. * We have enough music in the hospitality suite if you want to dance. Keep your music in your room at a low level. We do not guarantee the rooms below you and if we get a complaint, you will be asked to be moved off the floor by the hotel or even ejected.
* Do not open your room before 12:15 am (usually 12:30 on NYE) or linger in the hallways with music. You will be asked to go inside your room. We have the dance downstairs for that reason.
* You are not allowed to have your own private party in the hotel at ALL. If you decide to do a theme room on the 4th, it must be open to everyone. You cannot pick and choose who comes into your room. If you want to have your own private party, go somewhere else.
* Please do not use any paints to decorate, especially glow paints. The hotel will charge you some serious clean-up fees.
* As always, anyone upstairs in your room without an event wristband is not allowed. Harboring a person in your room who is not registered for the event or is not even a member will result in you getting permanently banned from the club.
* Pets are not allowed. Book yourselves on the 1st floor that allows pets. (There is a $75 or more non-refundable pet fee due on check-in)
* Always wear cover-ups between floors and there are to be no open rooms or theme rooms on any floor other than the 4th.
* You are only allowed 1 ticket per couple. Buying multiple tickets is NOT permitted. This only adds to the confusion, especially when checking in. Failure to do so will result in losing all rooms and tickets associated with the purchase. We only allow 1 room per member. You cannot purchase another member's room either. They must book it themselves to ensure their membership is valid and they are responsible for their room and actions at the club.
* Third-party sites can overbook hotel properties, meaning your reservation might not be honored. Do NOT book your room through these sites as we or the hotel can help you with ANY issues. You are on your own if you do so and must contact the people you booked through.
*Anyone not abiding by these rules will be ejected from the party and their membership revoked permanently.
We seriously hate to put so many rules down but there have been people that just don't have common sense.
Side Notes:
* We do not import OUR list of rooms to the hotel till a week or two of the party. If you call the hotel, they may not have your reservation yet. Please be patient. If you book late, they probably won't until the last minute. Your ticket will be your proof of purchase. At some point before each party, if you're reserving a room late you will have to book directly with the hotel. You will not get the discount and possibly be placed somewhere else in the hotel. Also, you must buy your ticket online before the party.
